Add, import, remove users | Manage access and roles

This page will walk you through the steps to add, modify, and remove users, ensuring you have full control over who has access to your system. Whether your users are employees, shareholders, or stakeholders, this process ensures that each individual has the appropriate level of access and visibility.

In general, we consider anyone who has access to the platform as user. The equity management is based on the users; however it’s possible to have detached shareholders from the users but we recommend adding all of your shareholders and stakeholders as users, so they can access the platform.

Users Management Page

You first need to access the Users Management Page:

  1. From the left side main navigation menu select Company under the Management section
  2. Locate Users sections on the Company page
  3. The section contains table with information about each user:
    • Name – user full name
    • Email – user email, used as login username
    • Roles – user roles
      • Admin – full privileges
      • Authority – authorizes different steps in the process – approves contracts, approves vesting grants
      • No roles – access only to the user own assets
    • Active From – the date considered the user is active in the company, typically employee hiring date
    • Inactive From – the date considered the user is inactive in the company, typically employee left date. Users with set inactive date, cannot access Equitshare and cannot participate in any equity management after the inactive date.
    • Actions – edit, delete

Adding New User

Suitable when adding single user

  1. Click Add User
  2. Fill the details about the user you want to add
  3. Submit form

Importing Users

Suitable when adding multiple users

  1. Prepare CSV file with the users you want to import with the following format
    • Header line: Name,Email,Start Date,Roles
    • New line for each user, e.g., Example Name,[email protected],2020-01-01,"admin,authority". Multiple role entries must be quoted and separated with comma. Missing role entries are considered as no roles configuration for the user.
  2. Click Import Users
  3. Select prepared file for upload
  4. Submit the form

Modifying User

From the actions column, select Edit icon – edit.

Opens a form allowing you to change the name, email, roles, active and inactive dates.

Deleting User

From the actions column, select Delete icon  delete.

❗If the user is being used in the equity management, it may not be deleted. In this case consider setting inactive date.
